About the Practice:

Compass Rose Behavioral Health is a growing virtual mental health therapy practice providing ethical, client-centered care and professional services. We are seeking a dependable, detail-oriented Virtual Administrative Assistant to support daily operations and help maintain a high standard of organization, responsiveness, and professionalism.

Position Overview:

The Virtual Administrative Assistant will manage administrative and operational tasks essential to the smooth functioning of a telehealth mental health practice. This role requires strong organizational skills, discretion, professionalism, and the ability to work independently while handling confidential information.

Key Responsibilities

Responsibilities include, but are not limited to:

Administrative & Practice Support

  • Manage appointment scheduling, confirmations, and calendar coordination

  • Monitor and manage email inboxes; respond to inquiries in a timely, professional manner

  • Respond to client texts and general phone inquiries as directed

  • Provide customer service support to clients and referral sources

Data & Document Management

  • Perform data entry and maintain accurate digital records

  • Organize, file, and manage electronic documents

  • Edit documents and assist with the preparation of written materials

  • Prepare memos, invoices, reports, and other administrative documents

Financial & Payment Support

  • Process client payments, including copays and self-pay fees

  • Perform basic bookkeeping tasks and maintain accurate financial records

  • Assist with invoicing and administrative financial tracking

Research, Reporting & Marketing Support

  • Conduct research and compile summaries or reports as requested

  • Assist with social media support and content coordination

  • Support administrative aspects of marketing and outreach efforts

General Support

  • Provide ongoing administrative support to the clinician and practice

  • Complete additional tasks as needed to support practice operations

Required Qualifications

  • Prior experience as a virtual assistant or administrative professional

  • Strong organizational and time-management skills

  • Excellent written and verbal communication skills

  • Comfort handling confidential and sensitive information

  • Proficiency with email, scheduling tools, and document management systems

  • Ability to work independently, prioritize tasks, and meet deadlines.

Preferred Qualifications

  • Experience in a healthcare or mental health setting

  • Familiar with telehealth practices and EHR systems

  • Basic bookkeeping or administrative finance experience

  • Experience supporting social media or digital content

Part-Time Medical Coder & Biller

We are seeking an experienced Medical Coder & Biller to manage and oversee billing functions with accuracy, consistency, and professionalism.

Position Overview

The Medical Coder & Biller is responsible for managing the full billing cycle for a telehealth mental health practice. This role requires strong attention to detail, comfort with revenue-related tasks, and the ability to work independently while handling confidential client and financial information.

Key Responsibilities

Responsibilities include, but are not limited to:

Medical Coding & Claims

  • Apply accurate CPT and diagnostic codes for mental health services

  • Submit insurance claims in a timely and accurate manner

  • Ensure documentation supports medical necessity and coding accuracy

  • Monitor claim status and follow up on unpaid, denied, or rejected claims

  • Correct and resubmit claims as needed

Insurance & Revenue Cycle Management

  • Verify insurance benefits and eligibility as assigned

  • Communicate with insurance payers regarding claim status and reimbursement

  • Maintain accurate billing and payment records

  • Identify and resolve billing discrepancies

Payment Processing & Collections

  • Process and post client payments, including copays and self-pay fees

  • Follow up on outstanding client balances in accordance with practice policy

  • Communicate professionally with clients regarding billing questions when needed

Compliance & Reporting

  • Maintain compliance with HIPAA and payer requirements

  • Ensure adherence to practice billing policies and procedures

  • Provide billing summaries or reports as requested

Required Qualifications

  • Prior experience in medical coding and billing (behavioral/mental health preferred)

  • Knowledge of CPT codes and diagnostic coding for psychotherapy services

  • Experience in submitting and managing insurance claims

  • Strong attention to detail and accuracy

  • Ability to work independently and meet deadlines

  • High level of professionalism and discretion

Preferred Qualifications

  • Experience with telehealth or virtual mental health practices

  • Familiarity with EHR systems (e.g., Simple Practice or similar platforms)

  • Experience handling payment posting and client balance follow-up

  • Understanding of revenue cycle workflows in small practices
